This Privacy Policy explains how Responseo Ltd ("we", "us", "our"), trading as Bizwings, Bizwings.Cloud and Responseo, collects, uses, stores and protects personal data. This policy covers personal data we collect as a data controller - for example, data about visitors to our website, enquirers and our business clients. Where we process personal data on behalf of a client as part of delivering our Services (such as caller and customer data captured by an AI receptionist), we act as a data processor; the data processing terms for that relationship are set out in our Terms & Conditions.

Depending on how you interact with us, we may collect:

• Contact and enquiry data - name, business name, email address, telephone number and the content of enquiries you submit through our website forms or demo requests.
• Account and client data - business details, billing information and records relating to the Services we provide to you.
• Payment data - we use a third-party payment processor (Stripe) to handle payments. We do not store full card details; we hold transaction references and status only.
• Usage and technical data - IP address, browser type, device information, pages viewed and analytics data collected via cookies and similar technologies (where you consent).
• Communications - records of correspondence and support communications between us.

Where we operate the Services on behalf of a client (for example, an AI receptionist handling that client's calls), personal data of the client's own callers and customers - such as names, phone numbers, call recordings, transcripts and booking details - is processed by us as a processor on that client's instructions, and the client is the controller of that data.

We use personal data to:

• respond to enquiries and demo requests (lawful basis: legitimate interests / steps prior to entering a contract);
• provide, maintain, support and improve the Services (lawful basis: contract);

• send marketing communications where you have consented or where permitted by law (lawful basis: consent / legitimate interests);
